Daily Multi-Platform Sync Pass Checklist

A morning and evening checklist for resellers who list the same items on several marketplaces, ordered so that anything touching an existing buyer is handled before anything that only affects future buyers.

Almost every oversell we hear about has the same shape: an item sold on one platform in the afternoon, the seller meant to end the other listings later, and a second buyer got there first. The fix is not more effort, it is a fixed order of operations that you run the same way every day. This checklist is that order. It starts with overnight sales and delists, moves to shipping and messages, then to price and inventory hygiene, and only then to new listings and relists. The sequence matters because seller ratings are built on the first group and lost on the second, so the buyer-facing work always goes first. Each line is something you can confirm from a screen or a record rather than from memory.

Print it, or paste the lines into the notes app you already open every morning, and run it twice a day: once first thing, once before you stop. The guide on this site explains why each block exists, and the articles on the reseller's daily workflow and the oversell problem go deeper on the reasoning. If you want a number for how exposed you are between passes, the Cross-Listing Oversell Risk Calculator in our Tools section turns your item count, platform count, and sync lag into a rough picture of the risk, and the Cross-Listing Time Cost Calculator shows what the manual version of this routine costs you in hours each week.

  • Open every platform's sold and pending list before anything else, and write down each sale as SKU plus platform so nothing is worked from memory.
  • For every overnight sale, find the same SKU on every other platform and end those listings now, one item at a time, before moving on to the next sale.
  • Set the inventory record for each sold SKU to quantity zero and log the platform, the date, and the sale price on the record itself, not in a message thread.
  • If sync software runs your delists, spot-check at least one sold SKU by searching for it on the other platforms rather than trusting the dashboard alone.
  • Look for any double sale (two orders for the same SKU on different platforms). If one exists, cancel the later order immediately with a short, honest message and note the event on the record.
  • Review offers and buyer messages on every platform, and answer anything that blocks a purchase or a shipment before doing any listing work at all.
  • Pull every item due to ship today from its bin location, confirm the physical item matches the SKU and the photos, and pack it before printing the label.
  • Mark each order shipped with tracking on the platform it sold on, then confirm the record shows shipped so the item cannot be relisted by mistake later.
  • Apply any scheduled markdowns by changing the base price on the inventory record first, then confirm every per-platform list price moved with it.
  • Scan for price mismatches that were not intentional: same SKU, different platforms, and a gap that does not match your written per-platform adjustment.
  • Check that every live listing still has a matching inventory record with quantity above zero; anything live at quantity zero is an oversell waiting to happen.
  • Confirm every item that entered inventory yesterday has a SKU, a bin location, a cost basis, and a photo set before it is listed anywhere.
  • List new items from the inventory record outward, using the same title, photos, and description on every platform so future relists are a push rather than a rebuild.
  • Pick today's relist batch from the stale-listing view (items past your days-in-inventory threshold) and relist them on every platform in one sitting, not spread across the week.
  • Before relisting anything, re-check its quantity and bin location so you never relist an item that has already sold or gone missing from the shelf.
  • Run a second sync pass in the evening: sold lists, delists, and messages again, since afternoon sales are the ones most often left live overnight.
  • Reconcile the day: the number of sales logged should equal the number of delists made, counted across every other platform each item was on. Any gap is a listing still live somewhere.
  • Note every cancellation, late shipment, or unanswered message from today in one place so you can see your seller-rating exposure per platform at a glance.
  • Write down tomorrow morning's first three tasks (usually the items that sold after your last pass) so the routine starts without you having to decide what to do.
  • Once a week, compare the time spent on delisting and relisting against your item count; when the manual pass no longer fits in the morning block, that is the signal to automate propagation.
